1. Who we are
Aviation Creators Ltd (“Aviation Creators”, “we”, “us”) is the controller of the personal data described in this policy. We are a company registered in England and Wales under company number 17420262, with our registered office at 5 Brayford Square, London, England, E1 0SG. For any question about this policy or your personal data, email info@aviationcreators.com.
2. What this policy covers
This policy explains how we handle personal data when you visit aviationcreators.com, apply to join Aviation Creators as a creator, send us an enquiry on behalf of an organisation, or contact us by email.
3. Information we collect
When you apply as a creator
- Personal details: first and last name, mobile number, email address, date of birth, gender, country of residence and languages spoken.
- Ethnic background, if you choose to give it (see section 4).
- Professional background: current employer, educational institution or trading name, job title or profession, and role or speciality.
- Online presence: links to your social media channels and website or portfolio, and your total follower range.
- Your profile photo, if you add one.
- About you: what you tell us about yourself and your content, why you want to join, and the opportunities you are interested in.
- Your declaration: confirmation that you accept our terms and this policy, your agreement that we may contact you about creator opportunities, the date of your application and, if you are under 18, confirmation that your parent or guardian agrees.
We save your answers each time you move to the next step of the application form, and when you leave the page, so that we can contact you to help you finish if you do not submit it. Your ethnic background is only sent to us when you submit.
When you send an organisation enquiry
Your name, organisation, role, email address, what you need, an optional budget range and your message.
When you contact us
Your email address and anything you include in your message.
Publicly available information
When reviewing an application, we may look at the public content and statistics on the channels you link to, such as follower numbers and published posts.
Technical information
Our website hosting provider records standard technical information, such as your IP address, browser type and the pages you visit, to keep the website running securely. Some information stays in your own browser rather than being sent to us; see section 13.
4. Ethnic background
Information about ethnic origin is special category data under data protection law. Giving it is optional, and you can choose “Prefer not to say”. If you do give it, we rely on your explicit consent and use it only to monitor diversity across our creator community. It never affects whether your application is accepted, and we never share it with organisations in a way that identifies you. You can withdraw your consent at any time by emailing info@aviationcreators.com, and we will delete it.
5. How we use your information
| Purpose | Lawful basis |
|---|---|
| Featuring you on our website and social media, and in proposals when we put you forward to clients and partners (including your profile photo) | Our legitimate interests in promoting the creators we work with. You can ask us to stop using your photo at any time |
| Assessing your application and contacting you about it | Our legitimate interests in reviewing applications, and steps you ask us to take before entering into an agreement |
| Contacting you about an application you started but did not finish | Our legitimate interests in helping people who begin an application to complete it |
| Measuring which of our Google adverts lead to applications and enquiries | Your consent, given through our cookie banner |
| Considering you for opportunities and introducing you to organisations | Our legitimate interests, with your agreement before we share your details for a specific opportunity |
| Delivering opportunities you take part in, including agreements and payments | Performance of a contract |
| Responding to organisation enquiries and messages | Our legitimate interests in running our business |
| Contacting you about creator opportunities that suit you | Our legitimate interests in matching creators with opportunities, and steps you ask us to take by applying |
| Diversity monitoring (ethnic background) | Your explicit consent |
| Keeping the website secure and working | Our legitimate interests |
| Keeping records and meeting legal, tax and accounting duties | Legal obligation |
Where we rely on legitimate interests, we have weighed them against your rights, and you can object at any time. We do not make decisions about you based solely on automated processing.
6. Applicants under 18
Anyone can apply, whatever their age. If you are under 18, we ask you to confirm that your parent or guardian knows about your application and agrees to it. We will not put a creator under 18 forward for an opportunity, or share their details with an organisation, without the agreement of their parent or guardian. A parent or guardian can contact us at any time to ask what we hold or to withdraw the application.
7. Who we share your information with
We do not sell your personal data. We share it only with:
- Service providers who help us run the website, collect and store form submissions, and send email, under contracts that require them to protect it and use it only on our instructions.
- Organisations offering an opportunity, when you have agreed to be put forward for it. We share only what they need to consider you.
- Professional advisers, such as lawyers and accountants, where needed.
- Authorities, regulators or courts, where the law requires it.
- A buyer or successor, if our business or its assets are sold or reorganised, who will be bound by this policy.
8. International transfers
Some of the organisations we work with, and some of our service providers, are based outside the UK. When we transfer personal data outside the UK, we make sure it stays protected, for example by transferring only to countries the UK recognises as providing adequate protection, or by using contract terms approved by the UK Information Commissioner.
9. How long we keep your information
- Applications we do not take forward: 2 years from our last contact with you.
- Creators we work with: for as long as we work together, then up to 6 years for contract and payment records.
- Organisation enquiries: 2 years from our last contact.
- Profile photos: kept with your application and deleted with it, or sooner if you ask us to stop using your photo.
- Unfinished applications: 6 months from the last time you added to them, unless you go on to submit.
- Ethnic background: until you withdraw consent or your application is deleted, whichever comes first.
After that, we delete or anonymise it.
10. How we protect your information
We use appropriate technical and organisational measures to protect your personal data, including access controls and encrypted connections. No method of transmission or storage is completely secure, but we take care to protect your information and will act promptly if anything goes wrong.
11. Your rights
Under UK data protection law, you have the right to:
- access the personal data we hold about you
- correct anything that is inaccurate or incomplete
- ask us to delete your personal data
- ask us to restrict how we use it
- object to how we use it, including for marketing
- receive your data in a portable format
- withdraw your consent at any time, where we rely on it (this does not affect anything we did before you withdrew)
To use any of these rights, email info@aviationcreators.com. We will respond within one month, and there is usually no charge. Depending on where you live, you may have similar rights under your local law.
12. Marketing emails
When you apply, you agree that we may contact you about your application and about creator opportunities that suit you. This is part of the service you are applying for, not marketing, and you can ask us to stop at any time by emailing us. We do not send marketing emails, such as newsletters, unless you separately agree to receive them, and you can unsubscribe from those at any time.
13. Cookies and browser storage
When you first visit, we ask whether you allow advertising cookies. Nothing that is not essential is stored until you choose, and you can change your choice at any time from Cookie settings at the bottom of every page.
| Name | Type | What it does | How long |
|---|---|---|---|
| nimbus_gclid | Advertising cookie, only if you allow it | If you reached us from a Google advert, stores the advert’s click ID so that it is sent with any form you submit. This tells us which adverts lead to applications and enquiries, and may be shared with Google to measure our adverts. | 90 days |
| ac-consent | Essential, local storage | Remembers your cookie choice. | 12 months |
| ac-creator-application-draft, ac-creator-lead-ref | Essential, local storage | Saves your progress on the application form so you do not lose your answers if the page reloads, and links the steps of one application together. Cleared when you submit. | Until you submit or clear your browser storage |
Links to YouTube and other websites take you to services with their own cookie policies.
14. Complaints
If you are unhappy with how we have handled your personal data, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, at ico.org.uk or on 0303 123 1113.
15. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated. If we make a significant change, we will tell you by email where we can.
